2024-25 School Year Parent Association Board Opening

Note: All officers/directors below are required to attend the monthly virtual board meetings except for coordinator roles. Virtual board meetings are typically hosted on the first Friday of each month.

All roles below are exempted from the minimum volunteer hour required by school.

Vice-President

Assists the President and assumes the duties of the president when that officer is unable to perform them because of absence.

Secretary/Director

Keeps and posts the minutes of the proceedings of the board meetings, general meetings, and the annual meeting of the Parent Association. Furnishes the minutes of the meetings to the board for approval, and post to a location available to all members. Schedules meetings and is the custodian of corporate records. 

Treasurer / Director

Keeps an accurate account of all financial transactions of the Parent Association and provides a financial report at every meeting of the Board. Furnishes copies of all financial reports to officers, board members, and provides a copy of the monthly report to the Secretary to include as an addendum to the minutes. Works with the board to prepare the budget for the Parent Association. 

Director of Teacher Appreciation 

Is responsible for Teacher Appreciation Week, teacher's birthday gifts, and the Staff Holiday Gift Card Program.

Director of Communication

Publish the monthly Parent Association (PA) newsletter/posters for school front door, maintain PA website, and manage the PA general email box. 

Director of Elementary Events

Plans community building events for the elementary students/families. Works with the Board to determine the number of events and types of events for the year. The number of events will vary from year to year, but usually, 2-3 events per year, one of each quarter for elementary students or full school.

Director of Pre-primary Events

Plans community building events for the pre-primary students/families. Works with the Board to determine
the number of events and types of events for the year. The number of events will vary from year to year, but usually, 2-3 events for the pre-primary students.

Director of Fundraising

Develops plans to raise money for the Parent Association. Works closely with the board and school to determine the number and type of fundraisers. The following are some examples of prior year fundraisers: Jog-a-thon, Buy-a-Brick, and silent auction. 

Director of Programs and Grants   

Coordinate all PA programs with the school. Manage Grant applications from submission to approval to funding.

Philanthropy Coordinator

Work with the school/the Board to coordinate additional philanthropy events throughout the school year. For example, The Sophia Way, tree planting, etc.

Yearbook Coordinator

Assist Yearbook Director to plan the yearbook. This may include coordinating volunteers (both photographers and for yearbook layout), and coordinating with the school staff as needed.

Volunteer Tracking Coordinator

Track parent volunteer hours, update parents of status, submit the hours to the school throughout the school year.
